There may be times when customers want to pay for your services in instalments, or simply pay you a deposit. To save you time issuing an invoice and receipt for every individual transaction, you can offer your customers the convenience of online payments.
Adding this type of feature to your website doesn’t need to be as extensive as installing a full shopping cart system, nor does it have to be expensive. Our recommended approach uses simple online form technology that allows for the collection of a PayPal, Stripe or other gateway payment.
“Gravity Forms is the Easiest, Most Trusted Tool to
Create Advanced Forms for Your WordPress-Powered Website.”
With over a decade in web design, our #1 online form software pick remains as Gravity Forms.
Gravity Forms is easily integrated with the likes of PayPal, Stripe and Square, allowing your customers to pay you using one of their payment gateways or, better still, allowing them to input their credit card details. Your clients don’t need their own PayPal, Stripe and Square account, nor do you have to pay for an expensive merchant facility through your bank each month. Between Gravity Forms and your selected payment gateway, your payments are securely and conveniently processed for you for a small fee.
Prerequisites for Gravity Forms Payments
- A WordPress website – Gravity Forms is first and foremost, software (aka. a Plugin) developed for WordPress. Checkout our articles on Why WordPress? and Why we Love WordPress Web Design for more information about the platform.
- Payment Gateway – Ideally set up under your business name, you’ll need a verified account through one of the following: PayPal, Stripe and Square.
- Plugin Licence – Gravity Forms, while not free, does offer Basic, Pro & Elite Licenses depending on your requirements. If you’re opting for a DIY solution, their basic licence will cover you for the online form features, however you will require at least the Pro license to facilitate online payments. The Basic Breakdown of How an Online Payment Form Works
The beauty of Gravity Forms is that it can be set up with customised questions, dollar amounts and settings, depending on what you require.
Online Payment Form Example Scenario
Your customer visits your website and clicks on a link/page where your “Make a Payment” form lives.
They complete form fields like: Name, phone, email, quote or invoice number so that you can match their payment. In your form, you can either offer a pre-defined deposit amount e.g. $200, or allow for your customer to enter in their own figure.
Upon submitting the form, your customer will be prompted to sign into their payment gateway or complete their credit card details to finalise their payment.
You’ll then receive an email notification from Gravity Forms (which can be customised to suit) as well as an email from your selected payment gateway. Your customer will receive a standard and automated email notification from your payment gateway.
For additional customisation, you may wish to also send an automated receipt, generated using Gravity Forms’ settings, giving you the opportunity to display your logo and include a custom message thanking them for their payment.
Online Payment Solutions that Defy
Given Gravity Forms’ list of add-on features and customisability, your online payment forms can get quite complex and more and more automated.
More elaborate forms include:
- Online product ordering,
- Automated quote generator,
- Multi-page forms,
- Save-as-you-go forms,

- and more…
